Privacy policy.

This Privacy Policy explains how Spencer Street Limited collects, uses, and shares information when you use Ketchup. We've written it in plain English. If anything is unclear, contact us using the details at the end.

Section 01

Information we collect.

Account information

  • Name — used to identify you to friends.
  • Email address — used to create and secure your account.
  • Profile photo — optional; shown to your friends and on events you create or attend.
  • Bio — optional; a short description shown on your profile.
  • Profile location — optional; the city you choose to show on your profile, such as “Paris, France”. This is stored and visible to others. It is separate from your device location, which we do not store.
  • Language preference — so the app and your notifications are in the right language.
  • Sign-in identifiers — if you sign in with Google or Apple, we receive a unique identifier and basic profile details from those providers.

Activity within the app

  • Events you create or attend, including titles, descriptions, dates, locations, and photos.
  • RSVPs and invitations you send and receive.
  • Friend connections, and any friend groups you create.
  • Messages and comments you send through chat and event comments.
  • Events you save or hide, and the events you have viewed most recently — we keep the last 50.
  • Reports you submit about other people's content, and the list of people you have blocked.
  • Notification preferences you set within the app.

Calendar information

With your permission, Ketchup reads your device calendar to work out when you are busy. We store those busy periods — start and end times only — and show them to your friends so they can find a time that suits everyone. We never read, store, or show event titles, descriptions, locations, or guests from your calendar. With your permission we can also add events you are attending to your calendar.

You can grant or revoke calendar access at any time in your device settings. If you revoke it, we stop syncing and delete the busy periods we hold.

Location information

With your permission, we use your device's location to show you how far away an event is and to suggest events happening near you. Your device's precise location is used on your device for this and is not stored on our servers.

Separately, you can set a profile location — a city, such as “Paris, France”. That is stored with your profile and is visible to other people. Setting it is optional, and you can change or clear it at any time.

You can grant or revoke location access at any time in your device settings. Ketchup works without it; you will simply not see distances or nearby suggestions.

Technical information

  • Device and diagnostics — device type, operating system version, app version, and crash reports.
  • Push notification token — an identifier issued by Apple or Google that lets us deliver notifications to your device.

How we use your information.

  • Provide and operate the app — letting you create events, invite friends, RSVP, comment, and chat.
  • Show you what friends are doing and suggest relevant events nearby.
  • Send push notifications about invitations, RSVPs, messages, and event updates.
  • Authenticate you and keep your account secure.
  • Respond to your support requests.
  • Diagnose bugs, monitor performance, and improve the app.
  • Comply with legal obligations and enforce our terms.

We don't sell your data, ever.

No personal information is sold, and we don't use your data for advertising.

Section 03

Our legal bases.

If you are in the European Union or the United Kingdom, data protection law requires us to have a legal basis for each thing we do with your information. Ours are:

Performance of a contract
Running your account and the core of the service: creating events, inviting friends, RSVPs, comments, chat, and the notifications that go with them.
Your consent
Location, calendar access, photos, and camera. You give this through your device's permission prompts, and you can withdraw it at any time in your device settings.
Legitimate interests
Keeping the service secure, diagnosing crashes, improving the app, and reviewing reports to keep Ketchup safe. We balance these against your rights.
Legal obligation
Responding to lawful requests, and reporting content we are required to report.

Where we rely on your consent, withdrawing it does not affect anything we did before you withdrew it.

Section 04

How information is shared.

With other Ketchup users

Information you choose to share — such as events you create, RSVPs, comments, messages, and your profile — is visible to the people you share it with. Please be thoughtful about what you post.

With service providers

Google Firebase
Stores your account, events, messages, and photos. Authenticates sign-ins and delivers push notifications.
Google Sign-In
If you sign in with Google, basic profile information is shared with us.
Sign in with Apple
Apple shares an identifier and, if you choose, your name and email.
APNs & FCM
Used to deliver push notifications to your device.
Google Maps Platform
Powers place search and map previews when you set an event location. It receives the text you type and the coordinates shown.
Firebase Crashlytics
Receives crash reports and basic device diagnostics so we can fix faults.

For legal reasons

We may disclose information if required by law or to protect the safety, rights, or property of our users or Spencer Street Limited.

In a business transfer

If Spencer Street Limited is involved in a merger or acquisition, your information may be transferred. We'll notify you before it becomes subject to a different privacy policy.

Section 05

Push notifications.

Ketchup sends push notifications about invitations, RSVPs, comments, and messages — delivered through FCM and APNs. You can adjust preferences inside the app or turn them off in your device settings.

Section 06

Where your data is stored.

Spencer Street Limited is a New Zealand company. Your data is stored in the European Union, on Google Cloud infrastructure in the europe-west1 region (Belgium), through Google Firebase.

Some of the providers we rely on may process limited data outside the EU — for example Apple and Google when delivering push notifications, and Google when crash reports are processed. Where personal data is transferred outside the EU or the UK, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses.

We use industry-standard security measures including encryption in transit and at rest and restricted access controls.

Section 07

How long we keep it.

  • Account and profile — for as long as your account exists. Deleting your account removes it, as described in Section 09.
  • Events, comments and messages — for as long as the account that created them exists, then as described in Section 09.
  • Recently viewed events — the last 50 only; older entries are dropped automatically.
  • Calendar busy times — replaced each time we sync, and deleted when you revoke calendar access or delete your account.
  • Reports — kept after review so that we have a record of moderation decisions and can recognise repeat behaviour.
  • Crash reports and diagnostics — kept on Google's standard Firebase Crashlytics retention schedule.
  • Backups — deleted data can persist briefly in encrypted backups before being overwritten.
Section 08

Your rights and choices.

  • Access and update your profile and preferences directly in the app.
  • Control your location, calendar, camera, photo, and notification permissions in your device settings.
  • Delete your account at any time from within the app.

UK and European Economic Area

Under UK GDPR and EU GDPR, you have rights including access, rectification, erasure, restriction, portability, and the right to object. You may also lodge a complaint with the ICO (ico.org.uk) in the UK, the CNIL (cnil.fr) in France, or your national supervisory authority elsewhere in the EU.

Our EU representative

Under Article 27 of the GDPR we are required to appoint a representative in the European Union. Ours is EU_REPRESENTATIVE_NAME, EU_REPRESENTATIVE_ADDRESS, who you may contact on any matter relating to our processing of your personal data.

New Zealand

Under the Privacy Act 2020, you have the right to access and request correction of personal information we hold. You can complain to the Office of the Privacy Commissioner (privacy.org.nz).

Section 09

Account deletion.

You can delete your account at any time in Settings → Delete Account. Some things are removed outright; others are kept but detached from you, so that the people you shared them with keep their own history.

Deleted outright

  • Your profile — name, email, bio, profile photo, profile location, and language preference.
  • Your friend connections and friend groups.
  • Your RSVPs, saved events, hidden events, and viewing history.
  • Your stored calendar busy times.
  • Your one-to-one chats, including the messages in them.
  • Notifications you sent to other people.
  • Future events you created, along with everyone's RSVPs to them — there would be no host left to run them.

Kept, but anonymised

  • Past events you hosted — kept so that the people who attended keep their history. You are shown as “Deleted account”.
  • Comments you wrote — kept, shown as from “deleted_user”.
  • Messages you sent in group chats — kept, so the conversation still makes sense to the others in it. You are removed from the participant list.

Deleted data may persist briefly in encrypted backups before being overwritten.

Section 10

Children.

Ketchup is for people aged 16 and over. It is not intended for children, and we do not knowingly collect personal information from anyone under 16. If you believe someone under 16 has provided us with personal information, contact us and we will delete it.

Section 11

Changes to this policy.

We may update this Privacy Policy from time to time. If we make material changes, we'll notify you in the app or by email before the changes take effect.
